Deleting a Clinidiary account
This page covers Clinidiary on the web, on Android and on iPhone, all made by Clinifyd Pty Ltd. Which account you have decides what can be deleted, so find yours below. To ask for a deletion, email support@clinidiary.com from the address you sign in with.
Who holds what
Clinidiary is software that clinics use. A patient's records belong to their clinic, and the clinic must keep them for the period the law sets. Clinidiary holds them for the clinic. So we can always close a sign-in, but we cannot delete a clinic's clinical records unless the clinic closes its account.
If you work at a clinic
Your own sign-in
Ask your practice owner or manager to remove you in Settings → Staff, or email us from the address you sign in with and we will tell your practice and close it.
What is deleted
Your sign-in is switched off and every signed-in device is signed out at once, including the app. You leave the practice's team and its diary.
What is kept, and why
Your name stays on the notes, appointments and invoices you made, because a clinical or financial record must show who wrote it. Those records are the practice's and follow its account.
If you own the practice
Close the whole account
Sign in on the website and go to Settings → Account → Close this account. Only the owner can do this. It asks you to export your data first, then you sign the closure form. Or email us and we will help.
What happens, and when
- On the closing date, the account stops taking bookings and sending messages. You can still sign in, read-only, to export.
- 30 days later, sign-in stops.
- 60 days after the closing date, all data is deleted from our live systems, and we confirm it in writing.
- 90 days after that, it is gone from our backups too.
Your duty to keep records
Your practice, not Clinidiary, must keep clinical records for the legal period: in Australia, 7 years from the last entry, or until a child patient turns 25, whichever is later. Export them before deletion — after it, nobody can recover them.
If you are a patient
Your patient sign-in
Email us with your clinic's name and the mobile number you sign in with, and we will delete your sign-in. Signing out of the app does not delete it.
Your health records
Your notes, appointments and invoices are your clinic's records, and the clinic must keep them by law. Ask your clinic directly to see, correct or remove them; if you contact us, we pass your request to them.
How long it takes
We reply within 5 business days and finish a deletion within 30 days of your request. We may ask you to confirm from the address on the account first, so that nobody can delete an account that is not theirs. How we handle personal information is in the privacy policy.
