Physiotherapy Clinic Reports: Revenue, Utilisation and Each Practitioner

Most practice owners are also full-time clinicians, and the business side happens after hours. Good reports give real answers in minutes. This guide explains which numbers matter and where they are in Clinidiary.

Under Reports → All reports, pick a day, week, month, quarter, year or financial year, then step back through earlier periods. The dates stay put as you move between reports.

  • Money: revenue, banking and daily takings, payments, refunds, discounts, adjustments, income by category, ageing debts, uninvoiced bookings, packs and account credits. See invoicing and claims.
  • Patients and visits: booking statistics, occupancy, cancellations and non-attendance, last attendances, client statistics, birthdays and class statistics. See how to reduce no-shows.
  • Where patients come from: how they found you, booking sources, referrers and referral values, and a map of where patients live.
  • Clinical: treatment note completion, cases and discharges.
  • Payers: what each funder has been billed and has paid.

Each practitioner

Most reports can be cut by practitioner, and each practitioner can see their own figures. A weekly scorecard can email each practitioner what they did last week. Hours and leave are in staff timesheets and leave.

Each site

Reports that make sense by site can be cut to one site or read for the whole practice. See multi-site practices.

Projected earnings

Projected earnings looks forward: what the bookings already in the diary will bill from today to the end of the period you pick.

On your letterhead

Print or save any report on your letterhead for a partner meeting, your accountant or the bank.
